1. CHANGES AND CANCELLATIONS


a) Changes and Cancellations — By You

If the customer cancels before the full payment is made, partial refunds may be applicable based on the cancellation date and the amount already paid.

Any cancellation after full payment is non-refundable unless specified by the airline, hotel, or service provider.

Package Inclusions:

The package includes flights, hotel stays, and transportation as per the itinerary. Any additional expenses will be the responsibility of the client.

Amendments and Changes:

Any requested changes in dates, accommodations, or flights after booking confirmation may result in additional charges.

Force Majeure:

HSB Travels & Tours is not liable for delays, cancellations, or additional costs due to unforeseen circumstances such as natural disasters, political instability, or airline strikes.

Final Payment Responsibility:

It is the client's responsibility to ensure all payments are made on time. Failure to complete the payment may result in the cancellation of the booking without refund.

i) Cancellations on Hotel Bookings


Each hotel has its own cancellation policy, which will be displayed to you before booking. Any cancellation fees, if applicable, will be charged per room and not per booking. HSB Travels and Tours will pass on any cancellation fees imposed by the hotel.


ii) Cancellations and Amendments on Low-Cost Flights

The terms for cancellations or amendments to low-cost flights are set by the airline. Please contact us directly to cancel or make amendments. Most low-cost fares are non-refundable. If you’ve purchased insurance, you may be able to claim refunds for non-refundable fares or cancellation charges.


iii) Cancellation and Amendments on Car Rental


Cancellation charges and terms for car rentals are set by the supplier. Please refer to the supplier's terms and conditions for more details on cancellations and amendments.


iv) Cancelling Your Insurance Policy


All insurance premiums must be paid in full at the point of sale and come with a 14-day cooling-off period, after which some policies may become non-refundable. The cooling-off period applies only if you haven’t traveled or made a claim. Please review the terms of your insurance policy at the time of purchase.


v) No-Show


If you fail to check in for any service (flights, car hire, accommodation, or package), you will not be entitled to a refund. However, if you’ve paid for any departure taxes for your flight (excluding low-cost flights), you may be entitled to a refund for those.


vi) Carrying Proof of Booking


Always carry your booking confirmation, e-tickets, and any other travel documents (including your passport and visa) while traveling. We are not liable if a supplier denies you service for lack of proper documentation.




b) Changes and Cancellations — By Us


Occasionally, we may need to make changes to your booking. Most changes will be minor, and we will inform you as soon as possible before your trip. If a significant change occurs, we will offer you an alternative trip of equal value or a refund, depending on availability. If the change is due to events beyond our control, we will not be liable for any compensation.


Flight-Only Bookings


If your flight is canceled and you have already paid for it, we will work with the airline to ensure you receive a full refund.


Flight + Hotel Bookings


If you book a flight plus hotel package, each component of your trip is subject to its own terms and conditions. If you’ve paid in full, you will receive confirmations from the supplier within 24 hours. If paying by deposit, the flight portion of your trip will be confirmed first, and your hotel will be reserved until the final payment is made.

In rare cases, airlines or hotels may overbook. If you’ve booked with a deposit, we will notify you promptly of any issues and offer an alternative or a full deposit refund.




Relocation of Clients


If the hotel we booked is closed, overbooked, or otherwise unable to accommodate you, the supplier is responsible for arranging alternative accommodation. If you refuse the alternative, and make your own arrangements, we are not liable for any costs incurred. We will notify you via email if we are aware of a relocation. If you reject the alternative offered by the supplier, we will not be responsible for any additional costs or losses that occur due to this.




d) Events Beyond Our Control


These include unusual and unforeseeable events beyond our control, such as war, terrorism, natural disasters, adverse weather conditions, or closure of airports. We cannot accept liability or offer compensation for any changes, cancellations, or delays caused by such events.





2. GENERAL BOOKING TERMS AND CONDITIONS

Your contract will either be with HSB Travels and Tours depending on what travel product(s) or service(s) you book.


a) Package Bookings

When you book a package or a hotel-only booking that we sell as the principal (as described in paragraph 3(d) above), your contract will be with HSB Travels and Tours. A package is defined as a pre-arranged combination of at least two of the following:

Transport

Accommodation

Another tourist service that forms a significant part of your booking.

These components are sold to you as a whole at the same time at an inclusive price, with full payment being made to us. You will be charged the full amount of your HSB Travels and Tours package at the time of booking. If the package includes separate products (e.g., flights and accommodation), separate credit card charges may apply for each product within the package, totaling the amount quoted.



c) Payment and Booking Confirmation

Your contract comes into effect once we have received your payment in cleared funds and a confirmation invoice has been issued. Prices are confirmed at the final step of the booking process when you click ‘Agree and Purchase’. Prices, including currency exchange rates, may vary from day to day and are calculated on a daily basis. Once a booking is made, the exchange rate will be fixed, and this rate will apply to any amendments or cancellations.



d) Privacy Policy

By using our site, you agree to our privacy policy, which outlines how we collect and use your information. You must keep secure any identification we provide for site access. Ensure that the information you provide is accurate and complete.



e) Governing Law

These terms and conditions shall be governed by and construed in accordance with the laws of England and Wales, and the courts of England and Wales will have non-exclusive jurisdiction over any disputes that arise. Your accommodation booking may also be subject to local laws, customs, and sensitivities, which could change at any time. We are not liable for bookings that do not comply with these local requirements.



g) Booking Your Trip

When you make a booking with HSB Travels and Tours via our website, you will need to provide us with your credit or debit card details to cover the full cost of your trip. Your credit card will be charged the full amount of your HSB Travels and Tours package at the time of booking. If your package includes separate services, such as flights, accommodation, or other products, you may incur separate credit card charges for each individual item, totaling the total quoted amount.

You can choose the option to pay in installments for our services.

You authorize us or an authorized third party to charge the full payment to your card for the total amount of your purchase. Please note, you may be asked to present a credit card at the time of check-in, rental, or pick-up for verification purposes and to secure any additional charges.

The price of each product or service is regularly reviewed and may fluctuate. Promotional or discounted offers are subject to availability and may be withdrawn at any time. All offers are provided at our discretion. Additional handling fees may apply for payments made via debit or credit card. A booking fee will also be payable per person in addition to the trip price. All such fees will be highlighted during the booking process.

By making a booking, you guarantee that you have the authority to accept, and do accept, these terms on behalf of all members of your party. You are also responsible for ensuring that any information we provide is passed on to every member of your group.




h) If Something Goes Wrong

This section does not apply to low-cost flights. If an issue arises with a low-cost flight, you should contact us directly.

If a problem occurs while you are abroad, you must inform us immediately, so that we can assist you. If your complaint is not resolved at the time, you must notify us within 28 days of your return in writing. Send your complaint to HSB Travels and Tours, Customer Services Manager , including your booking reference and all relevant details. Failure to notify us within this time may hinder our ability to resolve the complaint and could impact any compensation claim.




i) Our Liability for Your Trip

We accept responsibility for ensuring that your package, or accommodation-only booking, which we sell as principal, is supplied as described on our website. If any part of your package or accommodation-only booking is not as described and/or not of a proper standard, and this is due to our employees, agents, or suppliers' fault, we will pay reasonable compensation if this affects your enjoyment, up to a maximum of twice the value of your booking.

We accept responsibility for any death, injury, or illness caused by the actions or negligence of our employees, agents, or suppliers, whilst acting within the scope of their employment.

However, if you have not booked a package or accommodation-only booking, our role is solely as a booking agent for the suppliers, and we have no liability for any deficiencies in the trip, including personal injury, death, or loss, unless caused by our own negligence.




j) Limits of Liability

For international travel, our liability may be limited or excluded according to relevant international conventions. For example, in the case of air travel, the Warsaw Convention or Montreal Convention

may apply, or the Athens Convention for sea travel. These conventions set limits on compensation and liability for damages during transport. You agree that these conventions will apply to your travel.




k) Payment Issues

If payment is not received by the due date, or if a payment is rejected by the bank or card issuer, HSB Travels and Tours reserves the right to cancel bookings, whether used or unused, and charge you for any associated costs.

Customers who use credit without an agreement or exceed credit limits, or do not pay within the set timelines, will face cancellation of any bookings or tickets, and we reserve the right to recover any unpaid amounts. We cannot be held responsible for any inconvenience or losses arising from cancellations due to non-payment.




l) Events Beyond Our Control

We cannot accept liability or provide compensation for any disruptions to your travel plans caused by circumstances beyond our control, as explained in paragraph 1. This includes, but is not limited to, natural disasters, political unrest, strikes, or other unforeseen events.




m) Your Behavior

You and your party members must behave appropriately during the trip. If, in our opinion or that of our suppliers, your behavior is disruptive, dangerous, or offensive, we reserve the right to take appropriate action, including terminating your trip. If your trip is terminated, our responsibility ceases, and you will not be entitled to a refund or any compensation. You will also be liable for any additional costs incurred by us or the suppliers due to your behavior.




n) Changes to Terms and Conditions


HSB Travels and Tours reserves the right to amend these terms and conditions at any time without prior notice. If changes are made, they will be effective when posted on our website, and you are deemed to have accepted the updated terms when you use our services after the changes are posted.




p) Weather


HSB Travels and Tours cannot be held liable for any disruptions to your trip caused by unusual or adverse weather conditions.



q) Special Requests

If you have any special requests (such as a room preference or dietary requirements), please inform us during booking. We will pass your requests and try best to provide you services.




s) Third-Party Rights

No third party has any rights to enforce any part of these terms and conditions under the Contracts (Rights of Third Parties) Act 1999, except as specifically stated. This does not affect any other legal rights or remedies available to any party.
